Tent Installation: Important Information & Site Preparation Guidelines

When you book a tent, there are a lot of considerations to be made to ensure a safe, smooth, and stress-free installation. So we’ve compiled the following guidelines for you! These are designed to help you prepare your site and understand what to expect during setup and use.

Site Preparation: Sprinklers & Lawn

  • We recommend that all sprinkler systems be turned off for the full duration the tent is on-site. Active irrigation can interfere with the structure and may cause water damage or instability.
  • It is a good idea to mow the lawn prior to tent installation. This helps ensure a cleaner, flatter surface for setup and use.

Access to the Installation Site

To ensure our crew can work efficiently and safely, please make sure the setup area is:

  • Free of all vehicles, furniture, and any other obstructions.
  • Easily accessible to our crew from the time of arrival until installation is complete.

Tent installation may take several hours, depending on the tent size and complexity. Our crew may use equipment such as forklifts, power tools, stake drivers, and large aluminum poles.  Please expect construction-level noise. We appreciate your understanding that the setup is essentially a construction zone during this time.

Important Safety Note: Temporary Structure & Severe Weather Protocol

Please remember, our tents are temporary structures and not designed to withstand severe weather. If strong winds, lightning, or extreme storms are in the forecast, we recommend having an evacuation plan in place.

If weather conditions worsen or safety becomes a concern, please follow any instructions provided by our team or your event coordinator.

Final Notes

Temporary structures come with some brief inconveniences, including:

  • Tent movement or noise is normal in windy conditions.
  • Occasional Condensation or water seepage can occur in humid or rainy conditions. This is a natural reaction to outdoor weather and doesn’t indicate a problem with the tent.
  • Equipment and setup noise.

By being aware of these in advance, you can better prepare and help ensure a safe, enjoyable event for everyone involved!
